Privacy policy

Last updated October 9, 2026

This Privacy policy explains how ColdCampers Inc ("we", "us") collects, uses and protects personal information when you use IVRC at ivrc.hostingsip.com. Effective September 30, 2026.

1. What we collect

  • Account information: your name, business name, email address, phone numbers and the people you invite.
  • Service setup: your menus, greetings, extensions, business hours, forwarding numbers and contacts you add.
  • Call information: for calls to your number, the caller's number, date, time, duration and how the call was routed; and, when your plan and settings use them, voicemails, recordings and transcripts.
  • Billing information: your plan, invoices and payment status. Card details are collected and kept by Stripe, not by us.
  • Technical information: sign-in times, IP addresses and security logs used to keep accounts safe.

2. How we use it

We use personal information to provide and support the service, route and record calls as you configure them, bill you, keep the service secure, meet our legal obligations and tell you about changes to the service. We do not sell personal information and do not use it for advertising.

3. Your callers

When people call your business, we handle their information on your behalf and only to provide the service to you. You are responsible for telling your callers how their information is used and for any consent the law requires, including consent to record calls.

4. Who we share it with

We share personal information only with service providers that help us run the service, and only as much as they need: Oracle Cloud (hosting), our telephone carriers (calls and numbers), Stripe (payments), Google (email delivery) and Cloudflare Turnstile (bot protection on sign-up forms). They must protect it and may use it only for the work they do for us. We may also disclose information when the law requires it.

5. Google Contacts in the IVRC Phone app

If you choose to connect a Google account in the IVRC Phone app for Windows, the app asks Google for permission to see, add, edit and delete your Google contacts. The app uses this permission only so that you can see, call, add, edit and delete your contacts from inside the app. Connecting is optional; the app works without it.

  • Your contacts travel directly between the app on your computer and Google. They are not sent to or stored on our servers, and our staff cannot see them.
  • The app keeps the Google sign-in token on your computer, encrypted for your Windows account, and a copy of your contacts on your computer so they show quickly.
  • We do not sell Google user data, share or transfer it to anyone, use it for advertising, or use it to train artificial intelligence models.
  • You can disconnect at any time on the app's Contacts page. Disconnecting revokes the app's access and removes the token and the copy of your contacts from your computer; your contacts stay in Google. You can also remove access at myaccount.google.com/permissions.

IVRC's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements.

6. Where it is stored

Your information is stored and processed in the United States (Oracle Cloud, Phoenix, Arizona). It may therefore be accessible to courts and authorities there under the laws of that country.

7. How long we keep it

Voicemails and recordings are kept for the retention period of your plan (for example 90 to 365 days), after which recordings and voicemails are deleted. Account information is kept while your account is active and deleted when you ask us to, except records we must keep longer by law, such as invoices.

8. Cookies

We use only the cookies needed to keep you signed in and to protect sign-up forms from bots. We do not use advertising or analytics cookies.

9. Security

We protect information with encrypted connections to our websites and portals, access controls, audit logs and backups. No system is perfectly secure; if a breach puts you at real risk of significant harm, we will tell you and the regulator as the law requires.

10. Your rights

You can ask to see the personal information we hold about you, ask us to correct it, or withdraw your consent where the service allows. Write to obaid@obaid.ca; we will reply within 30 days. If you are not satisfied, you may contact the Office of the Privacy Commissioner of Canada (priv.gc.ca).

11. Changes to this policy

We will post changes here and, if they are significant, tell you by email or in the portal before they take effect.
